Customs identification
Where required for customs clearance, we request your VAT ID, CPF number or national identity card number by email.
We request the identification number only, not a photograph or copy of your identity card. These numbers are collected solely for customs clearance.
Communications
We collect information you provide through emails, WhatsApp messages, customer-service enquiries and our AI chatbot. This may include your contact details, order information and the contents of your messages.
Website usage information
Our website uses Google Analytics. This can collect information about pages visited, interactions with the website, device and browser characteristics, approximate location and referral sources.
Cookies and similar technologies may also process information needed for website functions, shopping-cart sessions and account access.

The bank or payment provider involved processes information necessary to complete the transaction. Grey Medical uses relevant payment confirmations, transaction references and billing information to manage orders, refunds and accounting.
Payment providers also process information under their own privacy notices and applicable obligations.

We share information with the people and service providers involved in carrying out the purposes described in this policy.
Authorised personnel
Website administration access is held by the business owner. Authorised staff handle email communications and customer care. The business owner and authorised developer have access to the customer database where needed for their roles.
Our internal team handles marketing activities.
Delivery and customs providers
We share delivery details and any required customs information with the courier handling your shipment.
Our delivery providers include:
- United States: FedEx and DHL.
- Europe and the United Kingdom: DPD and UPS.
- Other destinations: DHL or UPS.
Required VAT IDs, CPF numbers or identity card numbers are provided to the relevant courier for customs clearance. Couriers may provide information to customs authorities where required.
Payment providers
Relevant information is processed by the bank or payment provider used for your transaction, including Stripe, Payoneer or PayPal.
Accountant
Relevant customer, invoice, payment and transaction records are shared with our accountant for accounting and tax purposes.
Technology providers
Our website, database, communications, backups, analytics and customer-support services involve technology providers. These include our hosting and technical-service providers, Google Analytics and OpenAI.
Authorities and legal matters
Information may be disclosed where required by law, in response to a valid legal request, or where necessary to establish, exercise or defend legal claims.
Some recipients, such as payment providers and couriers, may retain or use information under their own legal obligations and privacy policies.

AI chat support
Our customised chatbot uses OpenAI to respond to customer enquiries.
Chat messages and customer information, including names, email addresses and order details, are shared with OpenAI to provide this service.
Conversations are stored in our database. The business owner and authorised developer can access them for customer support and technical maintenance.
You may request deletion of your saved conversations by emailing [email protected]. We can delete saved conversations from our database, subject to any applicable retention requirement.
OpenAI’s processing and retention are governed by the service used, its settings and applicable provider terms. Deletion from our database does not, by itself, establish that every provider log or backup has also been deleted.
Please do not submit payment-card details, passwords, patient information or other unnecessary sensitive information through the chatbot. Customs identification numbers should be provided through the email process described above.

Marketing communications
Grey Medical sends promotional emails, newsletters and WhatsApp offers about its products and services.
You can stop marketing communications at any time:
- Email: Use the unsubscribe link in a promotional email.
- WhatsApp: Reply “STOP” or tell our team that you no longer wish to receive offers.
- Other requests: Email [email protected] and specify the channels you wish to stop.
Our team records and honours these requests. We may retain a minimal opt-out record to help prevent further marketing to you.
Opting out of marketing does not prevent necessary communications about an existing order, delivery, refund, warranty claim or privacy request.
Where applicable law requires prior consent, an unsubscribe option does not replace that requirement.

Our website uses cookies and similar technologies for functions such as shopping-cart sessions and customer-account access. Google Analytics tags are also present to help us understand website usage.

International processing
Grey Medical operates from Pakistan and serves customers internationally. Information may be processed in Pakistan and in other countries where our couriers, payment providers and technology providers operate.

Data retention
Retention depends on the type of record, why it is needed and applicable legal requirements.
Financial and tax records
Invoices, payment records and tax-supporting documents are retained for six years after the end of the relevant tax year or period, or longer where required by applicable law.
Warranty and service records
Records needed to support our five-year manufacturing warranty are retained for five years from delivery.
Where the same information is also required for financial, tax or legal purposes, the applicable longer retention period applies.
Customs identification numbers
VAT IDs, CPF numbers and national identity card numbers requested by email solely for customs clearance are deleted from our records after clearance, unless continued retention is legally required.
The courier may retain its own records under its policies and legal obligations.
Marketing preferences
We retain the information needed to record and honour your marketing preferences, including a minimal record of an unsubscribe or opt-out request.
Chat records and backups
Chat conversations are stored in our database, and backups are maintained for recovery purposes.
A fixed retention period for chatbot conversations and backup copies has not yet been confirmed. We therefore do not promise automatic deletion of these records after a specified number of days.
You may contact us to request deletion or obtain information about the records we hold. Deletion from an active system may not immediately remove a copy from backups.
Ongoing claims and legal requirements
Relevant records may be retained longer for an unresolved claim, dispute, audit or legal obligation.
Records subject to the retention periods above are reviewed when those periods end and deleted or anonymised when they are no longer required.

The business owner controls website administration, authorised staff handle email and customer care, and database access is available to the owner and authorised developer.
Two-step verification is enabled for administrative and email accounts. Backups are maintained to support recovery following data loss or technical problems.
No website, storage system or electronic transmission can be guaranteed completely secure. Please contact us if you suspect unauthorised access or disclosure involving your information.
